Current state of archival affairs and records management terminology standardization in Ukraine

Abstract

The purpose of the study is to outline the composition of terms in recordkeeping and archival affairs. These terms are defined in the new draft version of the National Standard’s DSTU 2732 “Records management and archival affairs. Terms and definitions”. The article methodology is based on general scientific methods, in particular system, conceptual, retrospective, and comparative analysis. Scientific novelty is to provide: list of innovative terms of electronic document management and electronic paperless archiving included in the DSTU 2732; list of records management and archival affairs terms that were not defined at the current version of the standard and are in use de-facto due to changes in the records management and archival affairs legal framework and current practice in this area; and list of those introduced as outcome of research in records management and archival affairs, performed since the adoption of the current version of the standard. Conclusions. Dynamic distribution of the new document and media types, adoption of the modern regulatory and normative acts, accretion of computerization at archival affairs and records management in Ukraine were resulted in the development of the new version of DSTU 2732. This work ordered by the State Archives Service of Ukraine was performed by the Ukrainian Research Institute of Archival Affairs and Document Science. Article outlines three groups of new terms included in the standard: terms related to electronic records management and electronic archival affairs; terms de-facto widespread because of the new records management and archival affairs legal framework adoption; terms that exists in the current version, but their wording requires clarification.
